1. Review the forms you actually use
Collect current checklists, records and work instructions. For each form, note its purpose, where it is used, its frequency under your procedure and who reviews it. Flag duplicates and fields the team does not understand so these can be clarified before configuration.
If working procedures are unclear, align them first through HACCP consulting. A digital form should follow an established procedure. Copying an unclear table into an application leaves employees with the same problem.
2. Align equipment names and responsibilities
List the premises, rooms and equipment being monitored. Use names the team can easily recognise at work. For every check, agree who performs it, who reviews the record and who receives reports of deviations. Include cover for absences and shift changes.
3. Train staff using an actual task
FS App is designed for phones, tablets and computers. During introduction, check the device employees will actually use, system access and checklist clarity. Walk through the full sequence: find the correct equipment, enter a result, check the record and explain what to do when there is a deviation.
Agree a backup procedure if an entry cannot be made at that moment. The responsible person should know how to preserve the record and transfer it later, retaining the actual time of the check and explaining the delayed entry.
4. Start with a clearly defined scope
Choose one location or a group of records for the initial review. Agree a start date and which record is authoritative during the transition so that the team does not maintain two conflicting versions. Continue all other required checks under the existing system.
After an agreed period, review actual entries and staff feedback. Correct unclear labels, task allocation or instructions before expanding to the rest of the operation. The duration depends on the scope and the readiness of the team.
5. Connect daily entries to regular review
Agree when the responsible person reviews record completeness, open corrective actions and recurring deviations. Prepare a report for a selected period and check whether it clearly shows the checks performed and the actions taken.
This makes digital HACCP with FS App part of daily management. Bring sample forms and an equipment list to the demonstration: they provide a useful basis for discussing configuration and team training.
